What is a timesheet?
A timesheet is a legal document used to record the services provided by a caregiver, to a client.
Why do I need to turn in a timesheet?
A timesheet is required for any visit missing both a clock in and a clock out, or for any visit where tasks were not recorded, either in the AlayaCare app or IVR, upon clock out.
How do I know if I need a timesheet?
The CTA team will contact you for any visit that is missing both a clock in and out, or any visit without tasks, to inform you a timesheet is needed.
I don’t have a timesheet. How do I get one?
There is a link to a fillable timesheet at the bottom of this document. You can also contact CTA at 888-634-5290 and ask to be texted or emailed a PDF copy or call your local branch and speak with someone in either client services or caregiver management and request a timesheet be sent to you.
I’ve never filled out a timesheet before. What do I do?
To start with, timesheets need to be filled out fully, accurately, and legibly. This includes:
Client and employee full legal name
Dates and times of visit on the correct corresponding day line
Client Initials
Tasks
Employee Initials
Client Signature
Employee Signature
Timesheets must also be free of white out and excessive scratch outs and be filled out in either blue or black ink only. Timesheets can be typed, however both client and employee signature need to be handwritten
- Fill out both your and your client’s full legal names at the top of the sheet
- On the corresponding day line, mark the date of the shift in mm/dd/yy format. Fill out the time you arrived at your client’s home and the time you left their home; circle either AM or PM. Then, fill out the total hours worked for that shift.
- Have your client initial the box next to the shift that was filled out
- Check off the tasks completed for the client during the shift
- Put your initials in the box next to the tasks
- Total up the number of hours on the timesheet
- Obtain your client’s signature. If your client is unable to sign, please reach out to the client team for assistance on who can sign in the client’s place
- Sign your name on the employee signature line
I have two shifts with the same client on one day. Can I put both shifts on the same line?
No. If you have two shifts with the same client, you need to use both the upper and bottom portions of the timesheet. For example, if you worked 8-10AM, and then 3-5PM, the shift from 8-10AM would be on the top half, and the 3-5PM shift would be on the bottom half. All other timesheet rules still apply.
I completed a timesheet. Now what?
Send the timesheet to CTA as a PDF or jpeg to gatimesheets@helpathome.com. If you’re taking a photo, please make sure the photo is not blurry, and the full timesheet is showing. If the timesheet is blurry, cut off, or completed incorrectly, it will be sent back for correction.
Can I put multiple clients on one timesheet?
No, you will need a separate timesheet for each client where a timesheet is needed. If sending multiple client’s timesheets to CTA, please send each individual client’s timesheets as its own document.
